Challenge

PRIMAVERA saw great potential in Artificial Intelligence and Microsoft 365 Copilot to support daily work, drive innovation, and empower employees. However, to make meaningful use of the technology, several strategic and organizational challenges had to be addressed first:

• Identifying where Microsoft 365 Copilot could create real value in everyday work processes.
• Ensuring employees had the right skills and confidence to use AI effectively.
• Building internal structures to support knowledge sharing and sustainable adoption.
• Aligning innovation initiatives with existing workflows and compliance requirements.
• Creating a clear vision for how AI fits into PRIMAVERA’s long-term strategy.

In addition, the pilot project came with its own set of challenges. There was noticeable uncertainty and very different levels of AI knowledge across the organization. Some employees were already using tools like ChatGPT, while others were skeptical or hesitant. To ensure the project’s success, PRIMAVERA needed to build common ground, create an open environment, and manage expectations carefully. .

Solution

To explore the possibilities of Microsoft 365 Copilot, PRIMAVERA partnered with Experts Inside to launch a pilot project for selected users. The initiative followed the Experts Inside implementation roadmap, combining targeted training, continuous learning, and structured evaluation to ensure a guided and sustainable introduction to the technology.

The pilot included several key elements:

• Foundational Training: The pilot started with a Copilot Basics Training and a Prompting Training, complemented by a Copilot Chat Training for all employees.
• Regular Meetings: In recurring sessions, participants explored possibilities and limitations, shared best practices for selected Microsoft 365 applications, and discussed learnings.
• Use Case Identification: Specific use cases and user groups were identified where Copilot generated the most tangible value. Experiences were actively exchanged to accelerate adoption.
• Community Building: A dedicated AI Community was established to connect interested employees, encourage knowledge sharing, and build internal expertise.

• Continuous Evaluation: A core team regularly monitored Copilot usage through the Copilot Dashboard, ensuring meaningful insights for further planning.
• Strategic Review: The pilot concluded with a comprehensive review and retrospective, forming the foundation for a management recommendation on Copilot’s future role at PRIMAVERA.
